VideoCaps

VideoCaps Privacy Policy

Effective date: 24 October 2026

VideoCaps (“we”, “us”) is an iPhone app that writes captions from the speech in your videos and burns them into the video. This policy explains what VideoCaps collects, why, and what you can do about it. Questions: support@videocaps.app.

The short version

1. What stays on your device

These are stored only on your iPhone:

VideoCaps asks for access to Photos to open your clips and to save the finished video. It doesn’t upload your photo library or your videos.

2. Account

You sign in with Apple, Google or an email address. We store:

3. Captions: what is uploaded and how long we keep it

What is uploaded. When you make captions, VideoCaps extracts the audio track from the clip, compresses it on your iPhone and uploads that audio file to our server. The video itself is never uploaded.

What we do with it. Our transcription service turns the speech into text, with the timing of each word. The text, word timings, detected language and the clip’s length are saved with your account, and the app downloads them to build your captions.

How long we keep it.

On-device fallback. If our server can’t be reached, VideoCaps can write captions on your iPhone instead. It downloads a speech model once for this, and then nothing is uploaded.

Usage limits. We count how many seconds of audio you transcribe each calendar month, to apply your plan’s monthly minutes.

4. Purchases

Apple processes all payments, and we never see your payment details. A subscription service provider manages subscriptions for us. When you buy or restore VideoCaps Pro, it receives your purchase history from Apple and your account identifier, so your plan follows you to a new iPhone.

5. Diagnostics and usage statistics

We use an analytics and crash-reporting service:

These events never include your video, your audio or the text of your captions. The provider processes this data for us under its data processing terms.

Export statistics. When you export, the app also sends our server a technical summary: the device model, iOS and app version, the video’s length, size, resolution, codec and bitrate, the number of captions and words, the caption language and how long the export took. We use it to make exports faster and more reliable.

Security logs. Our server records the IP address and device details of requests that create or change a transcription, to detect abuse.

6. Where your data is stored

Our servers are rented from hosting providers in the United Kingdom (accounts and transcripts) and Germany (uploaded audio and the transcription service). If you live outside these countries, your data is transferred there. Germany is in the EU, and the European Commission recognises the United Kingdom as protecting personal data adequately.

We process your data:

8. Your rights

You can:

Write to support@videocaps.app for anything except deletion, which you can do in the app. We answer within 30 days, and on request we name the service providers mentioned in this policy.

9. Deleting your account

In the app, open Settings → Account → Delete Account. When you confirm, we immediately delete:

Security logs and export statistics are kept, but with your account identifier, IP address and device details removed, so they no longer identify you.

Deleting your account doesn’t cancel a subscription. Cancel it on your iPhone in Settings → your name → Subscriptions. Uninstalling VideoCaps removes your projects from the device.

10. Children

VideoCaps is not directed to children under 13 (or the minimum age in your country), and we don’t knowingly collect their personal data.

11. Changes

If this policy changes in a way that matters, we’ll say so in the app before the change takes effect. The current version is always at https://videocaps.app/privacy.
